For Commissioners and Coaches

Here are some tips on how to get started in TeamSnap and how to get the best use out of it.

 

To Access Team Snap

  • Go to www.teamsnap.com and click the green Log In button in the top right corner.
  • Click on Capitol City Little League under My Leagues.
  • Go to your division – you will see a list of divisions. Click on your division to see information about each one including a list of teams, a roster, a schedule and a way to send messages.

Getting Started for Commissioners

  1. Check Rosters: first check your rosters to make sure they are okay by clicking on the Roster tab in either the division or the team. You can add, edit or delete players from within TeamSnap.
  2. Set a coach or team owner for each team.
  • First click on the team that you wish to set an owner for.
  • Then click on the Roster tab
    • Check to see if the team owner is listed as a player.
    • If they are not, click on the New Player button at the top of the page to add the player.
    • Enter their name and email and click the Save button.
    • Return to the roster and find the player you just added.
    • Click on the Invite to Join button.
    • TeamSnap will send an email that walks them through the process.
    • Let your coaches know this email is coming and ask them to let you know after they have joined TeamSnap.
    • Return to the Divisions landing page. You can do this by clicking on the name of the division in the top menu bar next to the My Account link.
    • For each team – click the Change button next to the team and select the owner from the team’s current roster.
    1. You can also set other adults as non-playing members with manager access by:
    • Click on the team name.
    • Click on the Roster tab.
    • Click on the Edit button next to the name.
    • Click on the Edit button again in the top box.
    • Scroll to the bottom and mark for manager access and non-player status. Note: they must have received their TeamSnap invitation and joined before you can change this.
    • Click Save.
    1. Once everything looks good – you or the coach can invite the players to become members.
    • Click on the Roster tab.
    • When you select Invite to Join under any name it will give you the option to invite just that person – everyone or any combination.
    • TeamSnap will send an email that walks them through the process.
    • Below is a sample email to send to your team if you want to start taking advantage of the availability feature.

    You will have already received an invitation to “Come and join Red Sox on TeamSnap!” – here’s what to do next:

    • Click on the Join [your team] button at the top or at the bottom.
    • You’ll be shown a login screen – create a new account with whatever email address/password you like.
    • Then go to login.
    • After you’ve logged in you’ll see a My Teams section with [your team name] in it followed by an Upcoming Schedule section. Click on your team name.
    • From here you can see the roster, our schedule and other useful items.
    • Click on the Availability tab in the top menu.
    • Please click on which games you can make – please note – there are two pages so hit the next button at the top of the screen to see all of them. Thanks and let me know if you have any questions.

    Update Game Results

    By updating the results of games in the web site, the standings will automatically be updated.  Also, results will be updated on the division and team web site pages.

    • Log into teamsnap.com.
    • Click on Capitol City Little League under My Leagues.
    • Click on the division for which you are updating game results such as American, Minors or Softball.
    • Click on the Schedule tab and you will see a list of games.
    • Click on Enter Result for the game you wish to update.
    • Enter the score and click Save.
    • Repeat as needed.

    Messages

    Through the website you can communicate with groups of people in three ways - email, text message or a message board.

    You also have great flexibility in what groups you communicate with.  Using the website you can either send email or text messages to groups of people. From each of the starting points - click on the Messages tab and then select either email or text as your method of communication.  Your options of who you send the message to depend on what level you are at as laid out below:

    • Main page - you can send messages to everyone in the league, certain teams, all the team owners/coaches, all the commissioners or any variation of that.
    • Division page - you can send messages to everyone in the division, all teams or certain teams in the division, all coaches or certain coaches in teh division and all commissioners.
    • Team page - you can send messages to all players, some players and all coaches.

    Enabling Text Messaging

    In order to send text messages, each member must enable text messaging on their account.  As a commissioner:

    • Find your name under the Roster tab and click on the Edit button.
    • Click Edit again in the top right corner of your information.
    • Scroll down to the section for phone numbers and enter your mobile number.
    • Make sure you click on the option to "Allow team to send me text messages at this number"
    • A dropdown will appear - please select your mobile carrier from the list.
    • Click on the Save button at the bottom.

    Getting Started for Coaches

    Once the rosters have been imported – all the players and coaches will be invited to join TeamSnap. Each team will have a team website that includes the following functionality:

    • Roster with contact information Schedule for the team –
      • this follows from the main site so any changes the commissioners make at the division level will automatically be made here too.
      • Teams can also add their own events and practices here so that they are on the team schedule.
    • Availability – very useful - allows each player to mark whether they can make a game or practice.
    • Tracking – you can enter any item and track it here - only for coaches to use though all can see.
    • Payments – allows you to specifically track any payments that the players owe if any teams use this.
    • Statistics – this is part of the premium plan. I know several teams use GameChanger – we use iScore. Right now I’m working on the rosters – once that is imported I’ll see how/if we can integrate.
    • Refreshements – people can sign up for refreshments for game
    • Photos & Files –upload photos and files for the team to share
    • Messages – use to send email and text communications to the team including all players, some players or just coaches.  Also, has a message board for team communication.
    • Manager – allows the team manager to set various options such as sending automatic game and event notifications and allowing refreshement tracking.

     

    Tips on Using the Website for Coaches

    • The Availability tab is a great way for you to figure out which players can make the game so you can do your lineup.
